How many hours a month go to booking appointments over WhatsApp?
Multiply the appointments you arrange by chat each week by the minutes each one takes, add the changes and cancellations, and convert it to hours per month. With the example below —40 appointments a week at 5 minutes and 6 changes at 3 minutes— that's about 15.7 hours a month. Enter your numbers and see it instantly.
How it's calculated
Hours per month = (appointments per week × minutes per appointment + changes per week × minutes per change) × weeks in a month ÷ 60
A month has 4.33 weeks on average (52 weeks divided by 12 months). Workdays are 8 hours. If you enter what an hour of your work is worth, it's multiplied by those hours. Everything is calculated in your browser: we don't store or send what you type.
How to measure your numbers
- Pick a normal week and count the appointments you arranged by chat, not counting the ones that came through a booking link.
- Take 3 or 4 conversations and look at the time of the first and last message: that gives you the minutes per appointment, even if you replied on and off.
- Count the messages to move or cancel appointments separately: they're scheduling time too.
- If you work with a team, add the time of whoever answers the business's WhatsApp.
How to win that time back
- Share a booking link: clients choose the service, staff member and time without messaging you. In Agendorio every business has its own.
- Let an assistant answer the chat: Agendorio's understands how each client writes and books, reschedules or cancels with your schedule's rules (Pro and Business plans, and during the free trial).
- Let each client change or cancel their own appointment with its code, without going through you.
Questions about the calculator
How is the time spent booking over WhatsApp calculated?
The appointments you arrange by chat each week are multiplied by the minutes each one takes, the changes and cancellations are added with their minutes, and that weekly total is multiplied by the weeks in a month (52 ÷ 12) and divided by 60 to convert it to hours.
What counts as booking time?
All the back-and-forth to get an appointment set: greeting, asking which service, checking the schedule, offering times, waiting for the reply and confirming. Also the messages to move or cancel an appointment.
Where do the example values come from?
They're just an example to show how the calculator works; they're not averages from any study. Change each value to your business's to see your result.
How do I stop losing that time?
With a booking link clients book on their own, and with a WhatsApp assistant the chat gets answered without you. Agendorio has both, and it also lets each client change or cancel their appointment with its code.
